1. Job Title: Human Resource Officer
Reporting to: Human Resource and Administration Manager
This position plays a crucial role in providing administrative support to the HR and Administration Officer and ensuring the smooth operation of HR processes and functions.
Key Responsibilities
Administrative Support:
Documentation: Prepare and organise HR documents, including contracts, offer letters, and other personnel records.
Correspondence: Draft and edit emails, memos, and other communication on behalf of the HR and Administration Officer.
Recruitment and Onboarding:
Job Postings: Assist in posting job vacancies on various platforms and coordinating recruitment efforts.
Applicant Tracking: Manage the applicant tracking system, screen resumes, and schedule interviews.
Onboarding Support: Facilitate the onboarding process for new hires, ensuring a smooth transition into the organisation.
Employee Records and Benefits:
Record Maintenance: – Maintain accurate and up-to-date employee records, ensuring compliance with data protection regulations.
Benefits Administration: – Support in administering employee benefits programs and address employee inquiries related to benefits.
Training and Development:
Training Logistics: – Coordinate logistics for training sessions, including scheduling, materials preparation, and participant communication.
Employee Development Programs:- Assist in implementing employee development initiatives and programs.
General Human Resource and Administration
HRIS Management: – Assist in the management of the Human Resources Information System (HRIS), ensuring data accuracy and integrity.
Meeting Coordination: – Coordinate HR and administrative meetings, including preparing agendas, taking minutes, and following up on action items.
Vendor Management: – Assist in liaising with vendors for HR-related services and supplies.
Compliance
Assist with Work Permit Applications and renewals
Assist with study permits applications and renewals
Assist with Zambia Qualifications Authority applications and follow-ups
Assist with Teaching Council of Zambia registration and renewals
Stay updated on local labour laws and regulations to ensure organisations policies and practices comply.
Any other duties as assigned
Qualifications:
Bachelor’s degree in Human Resources, Public Administration, or a related field.
Previous experience in an administrative or HR support role is advantageous.
Strong organisational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in MS Office and HR software.
