The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks. The role will support multiple teams/individuals, some of which may also be cross border.
Key Responsibilities:
Directly supports a Managing Director and the department
Manages day to day calendar(s) of senior management
Coordinates all aspects of executive level manager appointments, physical and virtual meetings, receptions and conference calls
May prepare and review materials and correspondence for meetings
Assist with creation/modification of presentations, spreadsheets and other various documents
Fosters effective communication between the Managing Director’s office and various other executive offices within the region
Coordination of the smooth running of the executive office and to foster efficient performance in their oversight of Citi’s business.
Coordinates travel arrangements with external agencies (travel, visa issuing etc); prepare and distribute schedules/agendas for travel
Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
Trains, coaches or guides other administrative staff when required
Builds and maintain contact lists both of clients and external organisations
Orders supplies and processes invoices through Procure to Pay system
Process and follow-up on Virtual Requests
Follow up on decks and may takes minutes in manco, in-business risk, and other meetings from time to time
Assist in planning and managing Town Hall, Senior Visits and Events, in partnership with GPA and Marketing
Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firms reputation and safeguarding Citigrop, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to policy, applying sound ethical judgement regarding personal conduct, behaviour and business practices, and escalating, managing and reporting control issues with transparency.

Knowledge/Experience:
8 years or more of proven work experience as a senior administrative assistant, virtual assistant or executive administrative assistant within financial services,
Proven experience running office operations for senior staff
Exposure in a multigeography, matrixed organization
Good undertanding of banking and/or financial services , its regulators and industry bodies
Skills:
Use of MS Office and other worflow applications
Communication and organizational skills,
Project management skills,
bookkeeping / expense management
Scheduling & Time management skills.

Qualifications:
Bachelor’s degree
Previous office administration experience preferably within a large and complex financial services or similar organization
Highly proficient in using applications such as Microsoft Office and other business process platforms like P2P, Concur, Workday and so on.
Demonstrated ability to quickly gain command of new systems
Demonstration of continuing learning and development advantageous
