Administrative Assistant Intern Department:

Logistics/Administration

Duty Station: Mongu, Western Province, Zambia

Supervisor: Logistics manager

Line Manager of : No one

Start Date : As soon as possible

Job Summary

Intern will assist mainly in supporting overall operational departments (Logistics, and Finance) in close cooperation with Logistics Manager and Procurement Assistant. Your tasks typically includes working on procurement (conducting market surveys, collecting quotations, submitting Purchase Requests etc.), supporting larger events held by PIN both for operations and programs.

Responsibilities
Supporting Office and events Management (preparatory work, monitor the cleanliness of the offices, Procurement of office Supplies and consumables etc).
Support of procurement tasks (e.g. assist in collecting of quotations, conducting market surveys, price benchmarking, contract administration support etc.) under close supervision of Procurement Assistant.
clerical duties assigned (e.g. scanning/archiving of documents, airtime management etc.)
Any other tasks assigned in cooperation with other departments.
Any other tasks as directed by the Line Manager
Reporting to: Logistics Manager

Qualifications

POSITION REQUIREMENTS
Student of Purchase and supply/Logistics/Administration /Management or any relevant field

Essential Skills & experience

Fluent in written and spoken English,
Basic ability to use MS Office, basic knowledge and use of office equipment
Good report-writing skills
Strong motivation to work in the development sector (personal initiatives are plus)
Willingness and eagerness to learn new things
High ethical standards and ability to endorse principals of confidentiality
Commitment to and understanding of PIN’s aims, values and principles
Flexibility in accepting new tasks

Preferred
Ability to work as part of a team
Analytical and problem-solving skills
Ability to work under pressure to strict deadlines
Ability to assess problems and recommend solutions
