Chemonics International Inc is looking for an Office Assistant to be based in Lusaka and to be engaged on a 1 year renewal contract basis.

Principal Duties and Responsibilities

He/she will work with the Receptionist/Administrative Assistant to provide administrative clerical support work to make sure offices are kept clean at all the times.

Spot areas needing change of fixture and fittings, and recommend for repairs accordingly.

He or she will be responsible for ensuring that stationery/office supplies to the Provincial offices and for trainings are prepared in a timely fashion.

Specific duties

Clean office floors, walls and windows, all utensils using the right cleaning materials.

Dustingoff office furniture and equipment every so often in order to avoid dust and other dirt piling up.

Spot and report major areas that need repairs to any part of the building to the supervising personnel.

Immaculately clean all conveniences, emptying of bins from the offices and washing basins frequently through the day with right disinfectant materials.

Restock all kitchen supplies needed for cleaning and maintenance having consulted the Receptionist/Administrative Assistant as quickly as can be.

Suggest minor repairs to office furniture, plumbing and electrical systems and advice the Receptionist if need be.

Make sure all the doors are locked after business hours, and also report any faults with doors or windows as soon as possible.

See to it that all outside lighting are working and in good shape and report any problems that may arise to the receptionist.

Set up conference rooms and drinks/refreshments in preparation for internal meetings.

Help in the preparation of the month to month list for purchase of training/office stationery and office supplies.

Distribute and give out training stationery for all trainings happening in and out of the office.

Attend to clerical matters of the institution when called upon or asked.

Show and live out Chemonics values and build culture of “Living our Values” within the team.

Verify that USAID regulations, Chemonics policies, and quality management best practices are enforced consistently.

Manage the reception and attend to all queries during the absence of the Receptionist.

Care for and handle the storeroom and keep up to date records of inventory control cards.

Any other tasks as may be assigned by the supervising personnel.

Minimum Education Qualifications, Experience and Competencies:

G12 School Certificate. One (1) year of experience working in similar position.

Good skills in planning and organizing.

Goodwritten and communication skills.    Initiative, teamwork and confidentiality.
