JOB DESCRIPTION
1.0 JOB TITLE: Club Accountant

2.0 DEPARTMENT: Finance

3.0 REPORTS DIRECTLY TO: General Manager and Vice Captain House and Finance

6.0 JOB PURPOSE:
To provide timely and accurate financial information so that in turn management committee are receiving the required information to enable them to make informed decision. To safeguard and protect the club assets.
Responsible for the management of the club’s financial affairs.

7.0 KEY PERFORMANCE AREAS/GOALS:
8.1 Regular cash deposits.
8.2 Financial reconciliations.
8.3 Produce relevant reports as required on time.
a. Weekly cashflow and bank reconciliations
b. Weekly Profit / Loss statements by area of the club
c. Monthly Management accounts with Profit and loss analysis per section to be presented by no later that the 10th day of the following month
d. Annual budgets with comparatives

8.0 RESPONSIBILITIES / KPI’s:
9.1 Be fully aware of the financial position of the club at all times and keep the management committee informed of all financial trends and any areas of concern.
9.2 Ensure that cash-ups are done at least every second day and all cash is banked on Tuesday every week. Provide a summary of the cash so banked to the club management every Tuesday having reconciled the cashups and pos daily reports..
9.3 Monthly Management accounts with Profit and loss analysis per section to be presented by no later than the 10th day of the following month
9.4 All balance sheet reconciliations to be done and presented by no later than the 10th of the following month
9.5 Produce an income and expenditure budget for the club by latest end November each year.
9.6 Produce detailed actual / forecast vs budget reports for each month and full year and produce a financial report at each monthly management committee meeting. Included in this report must be a GP analysis per section of the club with explanations on variances to budget.
9.7 Ensure the accuracy of the Payroll for all club employees and ensure that employees are paid the correct salaries and timeously.
9.8 Perform monthly reconciliations on all balance sheet items
9.9 Safeguard the assets of the club, including cash, sponsorship funds and all other income.
9.10 Prepare and present full financial statements to the AGM with the help of the Vice-Captain.
9.11 Prepare and present annual budgets to the AGM with the help of the Vice-Captain House and Finance.
9.12 Keep adequate records regarding all the club’s financial transactions.
9.13 Maintain the club’s accounting and point of sale systems in order to ensure accuracy, validity and completeness of the financial information of the club.
9.14 Manage the club’s cash flow and maintain a working level of petty cash.
9.15 Ensure that the club members do not handle, pay out or otherwise deal with the clubs funds without the accountant’s knowledge.
9.16 Collate the subscriptions from all members.
9.17 Maintain a time and attendance register, which accurately records the employees effective working hours in accordance with this agreement.
9.18 Follow the club’s code of conduct and governing body rules and regulations at all times and ensure that other members do the same.
9.19 Act in accordance with the club’s core documents and policies at all times, with particular reference to the aims and objectives of the club, as detailed in the constitution.
9.20 Ensure standard operating procedures are followed by every member of staff
9.21 Undertake other special analysis and investigations as may be instructed by the club management or Vice-Captain from time to time in a professional and timely manner.
9.22 The club accountant is responsible for the management of the club’s accounts and its financial dealings.

11.0 JOB DESCRIPTION
Candidate must have full grade 12 certificate with the following

professional level /advisory level for these qualifications ( ACCA, CIMA, Chartered Accountant Zambia)
3 years work experience
Must be a member of ZICA
