Our clients are looking for a highly-skilled Executive Assistant to assist the CEO with daily administrative duties. In this role, you will complete a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense and other reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and any other projects required.
To succeed in this role, the ideal candidate will have experience working in a fast-paced, company. You will have to be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of the business by providing personalized and timely support to the CEO and from time to time, other members of the leadership team.
CEO Calendar, Travel Management
○ Organize meetings and events on behalf of the CEO
○ Managing an active calendar of appointments, including team meetings and complex
scheduling
○ Arranging complex and detailed travel plans, itineraries and agendas
○ Work closely with the CEO to keep them well informed of upcoming commitments and
responsibilities and, following up appropriately
Admin Support for Talent/HR for the CEO office
○ Process visas for the leadership team and visitors to travel
○ Schedule onboarding activities for new hires assigned to the CEO
○ Assist in planning company-wide events and actively contributing to
Special Project Management
○ Support special projects designed to achieve the organisation’s goals – create project plans
and provide up to date on progress, risks and completion as needed/appropriate.
○ Basic research to support CEO preparation for meetings or projects, make decisions, plan
retreats, etc.
○ Organize team dropbox, google doc folders for ease of access, downloading, and sharing
Requirements
● 3 to 5 years working in a similar role in a fast-paced environment
● Calendar and travel management experience and attention to detail
● Stakeholder relations and management – Excellent people skills, ability to communicate effectively with stakeholders at all levels
● Problem solver – Creative and proactive in how challenges are faced
● Detail-oriented – You are very careful, and triple-check important documents, emails, presentations etc.
● Growth mindset – You are always willing to seek and receive feedback and see it as an opportunity for growth
● Ability to work well within a cross-functional team environment and diverse communities
● Project management – Proven ability to effectively manage different aspects of a project
● Organised and able to keep track of competing
