CONFIDENTIAL SECRETARY – GRADE ZRA06 (4 POSITIONS) (4 Position(s))
Job Description
Reporting directly to the Director, you will be responsible for providing secretarial and administrative services to the Director, so that he/she operates efficiently and effectively as he/she works towards meeting his objectives.
Responsibility:
MAIN DUTIES/ACCOUNTABILITIES

Typing letters of a routine nature or based on precedent from the Director, and departmental team;
Raising petty cash vouchers to obtain cash in order to buy tea and other beverages;
Receiving, sorting out all confidential and urgent correspondence from within and outside the Authority for the Director’s attention;
Ensuring that the filing index is up to date and always maintain effective filing;
Maintaining a high standard of housekeeping in the Director’s office;
Receiving and screening telephone calls and visitors to the Director;
Maintaining an appointments diary, and reminding the Director in good time of the appointments;
Receiving fax messages from operating divisions as well as clients and sends them as addressed;
Attending to all general enquiries for the Director to facilitate good communication and dissemination of information;
Organising and administering the office of the Director and coordinating delegation of functions and assignments by the Director to other Departmental staff;
Maintaining good customer care relationship with external and internal customers;
Serving as a link between the Director’s office and other divisions by effectively keeping communication lines open;
Maintaining confidentiality at all time; and
Carrying out any other duties as assigned by the Director from time to time.

MINIMUM REQUIREMENTS

Grade 12 School Certificate or General Certificate of Education (GCE) equivalent;
Diploma in Secretarial with Shorthand speed of at least 100/110 wpm and 50 / 55 wpm Typing speed;
Degree in Business Studies, Social Sciences or any equivalent qualification will be an added advantage;
Minimum two (2) years post qualifying relevant experience in a similar organisation; and
Fully paid up membership to the Professional Secretaries Association of Zambia (PSAZ).

High level of integrity and confidentiality;
Should be Computer literate;
Personal and organisation skills;
Ability to produce high quality documents;
Highly developed customer relations skills;
Maturity and ability to work under pressure ;
Interpersonal and team working skills; and
Excellent Communication skills.
