Minimum Required Qualifications and Experience:
▪ Ordinary level (GCSE)/ Grade Twelve
▪ Diploma in Logistics, Transport Management, Supply Chain Management, or related field.
▪ Minimum 3 years of experience in distribution and logistics.
▪ Experience with fleet management and transport operations.
▪ Knowledge of ZAMMSA distribution operations.
Desirable Qualifications and Experience:

▪ Degree in related field.

▪ 3-5 years of experience in distribution and logistics.

K E Y P E R F O R M A N C E A R E A S
Distribution Operations
▪ Supporting and coordinating day-to-day distribution operations from hubs to health facilities.
▪ Developing and coordinating delivery schedules, routes, and dispatch plans to optimize distribution efficiency.
▪ Monitoring deliveries to ensure commodities are reaching facilities within agreed timelines and in the required
quantities and condition.
▪ Tracking distribution progress and proactively identifying, escalating, and resolving delivery delays, shortages, damages,
and other operational exceptions.
▪ Supporting loading, dispatch, offloading, and delivery verification activities in line with approved procedures.
▪ Coordinating with relevant teams to ensure availability of commodities, transport, documentation, and other resources
required for distribution.
▪ Conducting routine follow-up with drivers and transporters to monitor deliveries and address emerging operational
challenges.
▪ Supporting continuous improvement of distribution processes, routes, and delivery efficiency.
Documentation, Data & Reporting
▪ Maintaining accurate and up-to-date distribution records, dispatch documentation, delivery notes, and proof-of-
delivery records.
▪ Supporting timely and accurate entry and validation of distribution data in ePOD, DTT, and other logistics management
systems.
▪ Reconciling dispatch, delivery, and receipt records and following up on discrepancies.
▪ Preparing routine distribution status, performance, and exception reports for management review.
▪ Tracking outstanding deliveries, delivery exceptions, and corrective actions through to resolution.
▪ Maintaining organized electronic and physical logistics records to support accountability, reporting, and audits.
▪ Supporting data quality checks and ensuring completeness and accuracy of distribution information.
Fleet & Asset Management
▪ Supporting effective management and utilization of vehicles assigned to distribution activities.
▪ Monitoring vehicle deployment, utilization, mileage, fuel consumption, performance, and maintenance requirements.
▪ Coordinating routine vehicle servicing and following up on repairs to minimise operational downtime.
▪ Monitoring fuel usage and related transport expenses and ensuring appropriate documentation and accountability.
▪ Maintaining accurate fleet records, including vehicle logs, maintenance schedules, fuel records, and utilization reports.
▪ Supporting tracking, safeguarding, and accountability of distribution equipment and logistics assets.
▪ Escalating vehicle, equipment, and asset-related risks that may affect distribution operations.
Stakeholder Coordination & Logistics Planning
▪ Coordinating closely with ZAMMSA hub teams to facilitate efficient dispatch and distribution of commodities.
▪ Liaising with 3PL providers, transporters, drivers, and other logistics service providers to ensure delivery schedules are
being met.
▪ Coordinating with health facilities to confirm delivery requirements, schedules, receiving arrangements, and proof of
delivery.
▪ Supporting communication and resolution of facility-level distribution challenges and delivery exceptions.
▪ Participating in distribution planning, coordination, and review meetings and providing relevant operational updates.
▪ Working closely with programme, supply chain, warehouse, procurement, and other teams to align distribution activities
with operational requirements.
▪ Maintaining effective working relationships with internal and external stakeholders involved in commodity distribution.
▪ Contributing to logistics planning, performance monitoring, risk identification, and continuous improvement initiatives.
