PharmSave Savings and Credit Co-operative Society Limited (PharmSave SACCO) is a member-owned financial co-operative established in 2021 by and for pharmacy personnel in Zambia. Over five years of operation, PharmSave has built the governance foundation, membership base, and financial track record of a credible SACCO, offering members savings, affordable loans, dividends, and financial education.

With headquarters in Lusaka, PharmSave seeks an Administrative Officer who will report to the Board of Directors. The following are the details of the position:

ADMINISTRATIVE OFFICER

Main purpose of the role
The position will be responsible for overseeing the day-to-day operations of the cooperative, supporting the administration of its lending activities, attracting and retaining members/borrowers, developing marketing strategies, and ensuring that the cooperative operates efficiently and in line with its objectives.

Key responsibilities

1. Operations Management
Manage the day-to-day operations of the cooperative.
Develop and implement operational procedures and processes.
Coordinate activities relating to loan applications, processing, disbursement and repayment monitoring.
Maintain accurate records of members, borrowers, loans and repayments.
Monitor the cooperative’s loan portfolio and identify overdue or high-risk accounts.

Coordinate with relevant departments/committees responsible for approving loans.

Prepare regular operational and performance reports for management.
Ensure proper documentation and filing of all cooperative and loan-related records.

Identify operational challenges and recommend improvements.

2. Loan Administration & Portfolio Monitoring
Coordinate the loan application process from initial enquiry through to approval and disbursement.
Ensure loan applications are complete and supported by the required documentation.

Follow up on outstanding loan repayments.
Maintain an updated loan register and repayment schedules.
Monitor portfolio performance and report on arrears and potential defaults.
Support the implementation of appropriate credit-control and recovery procedures.

Maintain confidentiality of members’ financial and personal information.

3. Marketing & Business Development
Develop and implement marketing strategies to attract pharmacy personnel and businesses to the cooperative.
Promote the cooperative’s loan products and other services.
Build relationships with pharmacies, pharmaceutical companies, healthcare professionals and other relevant stakeholders.
Develop partnerships that can increase the cooperative’s membership and loan portfolio.
Manage social media and other promotional channels.
Develop marketing materials, campaigns and member communication initiatives.
Monitor marketing activities and measure their effectiveness.

4. Member/Customer Relationship Management
Act as a key point of contact for members and prospective borrowers.
Respond to enquiries regarding membership and loan products.
Educate members on the cooperative’s products, loan requirements and repayment obligations.
Maintain strong relationships with members and stakeholders.
Gather member feedback and recommend improvements to products and services.

5. Financial & Administrative Support
Reconcile loan disbursements and repayments.
Assist in preparing budgets and operational forecasts.
Monitor operational expenses against approved budgets.
Ensure proper documentation of financial and operational transactions.
Support internal and external audits where required.

6. Compliance & Risk Management
Ensure operations are conducted in accordance with the cooperative’s policies and applicable laws and regulations.
Ensure appropriate controls are in place around loan processing and member information.
Identify operational, credit and reputational risks and escalate them appropriately.

Maintain proper documentation to support transparency and accountability.

Qualifications & Experience
Bachelor’s degree in Business Administration, Finance, Accounting, Marketing, Economics or a related field.
Proven experience in operations, financial services, lending, business development, marketing or a related field could be an added advantage.
Experience in loan administration, credit management or portfolio monitoring. Strong organizational and administrative skills.
Good financial, analytical and problem-solving skills.
Excellent communication, interpersonal and customer relationship management skills.
Ability to develop and maintain strong business relationships.
Proficiency in Microsoft Office and relevant financial/business systems.
Knowledge of lending operations, credit risk and financial management.
Ability to work independently, manage multiple priorities and meet deadlines.
