Human Resource Associate

We are looking to hire a Human Resource Associate who will be responsible for supporting service delivery in our Human Resource Outsourcing department.

Key Responsibilities:

HR Outsourcing

Oversee the recruitment of staff for clients (sourcing, screening, shortlisting, scheduling of interviews etc.);

Conduct periodic site visits to manage client relationships;

Query and grievance management of outsourced staff;

Input, handling and filing of all client and staff data with accuracy and confidentiality;

Prepare necessary statutory documentation and send it to senior staff member to review and approval;

Ensure that staff pre-employment requirements are met (reference checks, medicals, police certification);

Monitor working standards and health and safety of staff;

Assist the manager to prepare and maintain reports related to specific HR projects;

Conduct other administrative duties for the outsourcing department;

Support the department by preparing the following for existing and new clients;

Drafting contracts of employment

Explaining the employee handbook

First Day Induction (On Boarding)

Supporting the performance management process

Drafting job descriptions

Exit Interview Process

Finance

Prepare and manage client invoices on a monthly basis

Accurately prepare reports on a monthly basis;

Assist in reconciliation of client statements;

Collaborate in the preparation of payroll for outsourced clients;

Evaluate all expense reimbursements submitted by employees;

Collaborate with the Manager and ensure effective administration of department.

Desired Skills, Qualifications and Experience:

Must be aligned to the values of the TopFloor brand;

Must have a Bachelor’s Degree in Human Resource;

Should have at least 2 years’ experience with provable track record in a similar role with experience in Finance tasks as explained above;

Should have demonstrable skill in the use of MS Office skills (Word, Spreadsheets, PowerPoint);

Must have working knowledge of Sage Pastel software;

Should understand how to use the Google based work systems (Gmail, Google Calendar and Google Drive).

Must be a registered member of ZIHRM; membership with ZICA is an added advantage;

Must be intuitive, trustworthy and professional;

Must be skilled in delivering presentations and addressing audiences;

Should be able to communicate and relate with colleagues and clients at different levels of management from different cultures;

Should be able to support compliance, report writing and record keeping;

Should have ability to plan, be organised and manage time and deadlines effectively;

Should possess demonstrable communication (written, verbal and non-verbal) and self-leadership skills.
